Ten Proven Tips
on Collecting e-mail Addresses from Your Clients
  1. Encourage your clients to complete the "Traveler Profile" loaded on your Virtuoso-hosted website. The profile allows clients to register their travel preferences and most importantly, provide their email address.  When your client submits the completed profile, it is emailed your company email address and should be manually loaded into ClientBase.  For questions, contact dlopez@virtuoso.com.

  3. Write the word “e-mail” on a post-it and put it on your phone or by your computer screen. This will remind you to get addresses from every client you talk with.

  5. Add a space for e-mail addresses to all in-house office forms: including booking/reservations forms, cruise checklist, etc.

  7. Try to collect e-mail addresses at office functions such as Open Houses or Cruise Nights. (See printable profile .pdf)

  8. Run an ad in your local newspaper. Use the opportunity to introduce your services as well as invite readers to enter a contest by sending in their e-mail addresses. This is what one member in Georgia did with great success read text.

  10. Set out a brief profile sheet in your office (see printable profile .pdf). Ask that clients complete a profile and return it for a chance to win a prize in a monthly drawing. Increase participation by mailing it to key clients with a note.

  12. Mail postcards out to your key clients requesting their e-mail addresses. Invite them to your website to profile themselves. Use incentives like a "dinner for two" giveaway. See what another member successfully uses view postcard.

  14. Look at this as another opportunity to call and have a friendly, old-fashioned chat on the phone with your clients. Tell them you are updating their personal profile.

  16. Utilize your personalized letter in Voyage magazine and put a P.S. in your letter requesting client e-mail addresses. Something like, “Want fast-breaking vacation news? Send us your e-mail address and we’ll drop you an occasional line with hot offers.”

  18. Remove everything in the e-mail field of ClientBASE that is not an
